What is a Change Event? 🤔
A change event is any change that affects the original scope of a construction project. It can be any event that affects the scope of the work to be completed or results in unexpected costs. Homebound's procurement team is responsible managing change events to maintain accurate budget information in a project.
Step 1: Create a Draft Change Event
From the Change Events tab in your project, click Create Change Event in the top right and fill out the accompanying prompts. All fields are required. When complete, hit Create.
✐ Note: If the change event is chargeable to the client, then choose Homeowner Chargeable or PropCo billable. This will allow you to edit price in addition to cost. A "Homeowner Chargeable" CE will generate a "Change Order" where the signed document can be uploaded
Step 2: Add Items to the Change Event
Click Add Line Item to add a new item in-line. For item type, choose New or Project depending on whether you want to add an entirely new item to a project or reference an existing one.
Add Items Dropdown
- From Template: Choose from any active template in the Scope Templates Library. You have the option to replace existing items in your project that match the template.
- From Import: Add items from a CSV file.
- From Project: Adds items from the project's current scope .
- From Committed: Add items that have committed costs that vary from the budgeted amounts.
- From Trade Billed: Pulls in Item Codes and Costs that have been billed by Trades
- By Cost Code: A cost code is the parent category to an item code
- By Trade Partner: Pulls up a list of items that trade partners have committed to on the project.
Step 3: Add Quantity, Cost, and Price
For items with the cost type of Labor, Subcontractor, Equipment, or Other: Quantity, cost, and price changes can be easily amended in the proposed row.
✐ Note: If the item has a "Unit" other than "Lump Sum" then you will also have the ability to Change "Quantity" and "Unit Cost"
Step 4: Mark As Proposed (Optional)
The purpose of marking a change event as "Proposed" is to indicate our intention to accept the change event, even though we don't have confirmed pricing from the trade yet. By doing so, we will include the estimated changes in the proposed budget while leaving the change event editable so that once we receive the final trade partner bid it can be updated and accepted.
✐ Note: If there is an Estimate linked to a Proposed Change Event, editing the change event is not possible unless you reject the Estimate.
Step 5: Accept Change Event/Change Order
Once you are ready to finalize the change event, click Mark As > Accepted. This will open a pop-up that allows you to generate a draft trade commitment(s) to the trade partner(s) you have indicated in the change event. For chargeable change orders, you can upload an executed agreement. When you have finished reviewing this screen, click Submit for Approval. See this article for more Change Event Approvals
