Once scope is in place on a project, you will then need to buy out that work - i.e. get commitments in place with trade partners to deliver or preform various work on the home.
Note: Best practice is to buy out work after an initial contract is in place but work can be bought out as soon as the associated line items are added to Pre-Con Services or Specs & Selections
Step 1: Press "Add New" in the Trade Commitments Tab
From the Trade Commitments tab in a project, navigate to the top right and press "Add New."
Note: Before you create a commitment, ensure that there is a Homebound Authorized Signatory, Project Manager, and Estimating Lead associated to the project in the Team Members tab.
The "Add New" button will prompt you to select a trade partner and associated stage for your commitment. When you have finished filling out these prompts, press "Add Commitment."
Note: The trade partner you select must have a signatory contact in Blueprint to populate a contract in PandaDoc
Step 2: Add Line Items to the Commitment
Once you press "Add Commitment," you will be taken back to the Trade Commitments overview screen. From this screen, select your draft commitment; this will bring you to the line items screen of the commitment. From here, press "Edit" to add line items to the commitment.
By pressing "+ Line Item," you can add any line item from the project into the commitment. When you have selected the appropriate line item, press "Add" to add it to the commitment.
Note: A commitment that only includes line items with the "Cost Type" of "Materials" will show as a "Commitment Type" of "Purchase Order" but if line items are included with a "Cost Type" of "Labor" or "Subcontractor" then the "Commitment Type" will be a "Subcontract". The Commitment type will be indicated from the Details type
Step 3- Review Added Line Items
Once you have added all associated line items to your commitment, review the quantity and committed cost for each line item. When everything is correct, press "Save" to save all added line items to the commitment.
Step 4- Add Schedule and Scope (Optional) and Upload to PandaDoc
To add any additional specifications to the trade commitment contract, navigate over to the "Schedule and Scope" button in the commitment navigation bar. All of these fields are optional except for the Terms & Conditions field that will be populated with Homebound's current Terms & Conditions.
When you are ready to upload the commitment to PandaDoc, press the "Upload to PandaDoc" button at the top right. This will take a few seconds to load but once complete, the commitment will be ready for review and to send to the trade partner.
Send Development Commitment (PandaDoc Flow)
- Refresh the commitment until the link to the PandaDoc is active
- Click through to PandaDoc
Note: You can re-upload the commitment at this point if anything looks incorrect, doing so will delete the old contract and replace it with the new one.
- Change the signature order of the signatories if desired
Note: Changing signatory in PD will not update the signature block, in order to change the signature block you need to change the signatory info on the Trade Partner in Blueprint and re-upload.
- Send the Contract
- Once sent, the status of the commitment will update to “Sent” in Blueprint
- Once signed, the status will automatically update to “Signed” in Blueprint
