Click to Pay streamlines the Trade Billing process based on completion of tasks within the schedule. The result is more connection between our Schedules and our Budgets. This means less manual work and a faster Billing Process. The Project Manager will be responsible for Releasing Bills once work is done in the field. This is how it works:
Note: For Click 2 Pay to work the Schedule Task must be Allocated against an "Item Code", and a PO must be issued for that "Item Code"
Complete Task and Release Bill or Create an "Outstanding Bill"
When a task that is marked complete a modal will pop up prompting the project manager or superintendent to pay the trade connected with that task. If all boxes are check then a Click 2 Pay Bill will be released to the Trade Portal on the following business day for approval. For boxes that are not checked an "Outstanding Bill" will be created and show up on the Superintendents Dashboard. If you don't check any boxes then you can simply click "Complete without Payment" and the Bill will be generated as "Outstanding" and show up under the "Bills" section of your Dashboard.
See in this particular case one Bill will be Released and another will be created as Outstanding:
The Outstanding or Open Bill will then show up on the "Actions" section under "Bills" on the users Dashboard:
Notes:
- Releasing the bill does not trigger payment (the trade will still need to approve and accounting will still manually release funds in accordance with our trade partner payment terms)
- Any manually created Bills will also show up on the Approvals Dashboard
- Clicking outside of the Modal will prevent an Outstanding Bill from being created and could result in payment to a Trade Partner being missed
Paying Trades after or before the Task is Completed
If the Trade Partner has not been paid or no Outstanding Bill was created but the task has been Completed then you can simply click "Pay Trade" in the Task Drawer on the right. This will Release the Bill to the Trade Portal.
What do the Click to Pay Bill Statuses mean?
- Open - The bill was created and will be released for trade approval at the end of the day.
- Outstanding - The bill was created but has not yet been released to the trade.
- Trade Approval - The bill has been released to the trade and is awaiting their approval.
- Processing - The bill has been approved by the trade and Homebound is processing payment.
- Paid - The bill has been processed and paid.
